IISc AANA - March 16, 2008 Board Meeting Minutes

Attendees:
In person: Ram Akella, Subba Rao, Yashraj Bhatnagar, Ashok Sinha, and Surya Sankuratri (invited). By Phone: Gopi Mamidipudi, Murthy Gudipati.

Meeting started at 10.45 am due to technical difficulties with the conference line.

Agenda:
(1) Proposals (2) IISc Centenary conference (3) Surya's presentation to the board (4) Any other matters

Minutes:
Yash's presentation (attached) covering the inputs received from core committee members and through Ram's telephone calls with some of the chapter presidents (Brian, Murali Ghantasala, Sunder, Ashok) and translated into proposals for the board to consider as key strategic objectives for the year 2008-2009. In summary, (1) the need to re-energize the grass roots organization through new and existing SIGs. e.g. Mentoring SIG, for which both Mentors and Mentees would need to step forward. (2) The need to grow the organization through expansion of the chapter memberships and organizational development, and (3) to establish an effective and essential dynamic website which can support blogs, regular reports by committeees and leads, and function as a central location for IISc AANA news and activities.

On re-energizing the grass roots organization:

(1) Election Committee: board has asked Yash, Subba Rao and Ram to form this committee -- per this directive, we would like to ask our entire membership to come forward if they would like to be members of this committee whose primary objective is to organize and conduct National elections for all posts due this summer, including President of the IISc AANA National Executive Committee (see below for proposed national organization).
(2) Need to re-activate the fundraising committee -- to enable funding of chapter activites.
(3) Gopi and Subba Rao to coordinate and arrange secretarial help.
(4) Subba Rao brought up the need for a formalization of the roles and relationships between IISc AANA and the chapters.
(5) Membership can propose activities and group plus leader for any activity, Board can help with possible resources and (national) coordination and contacts. Please contact Board/Chairman immediate for any specific proposals - the concept is that members take ownership and lead, and Board will support and amplify.
(6) The Board (with inputs from the membership) will propose goals and modality and work with IISc actively on the December 2008 Centennial Conference.
(7) Strategies to get (a) SIGs active (b) Expectations of the Membership (c) How to deliver best value returns for the time members spend at / with the organization. Murthy also mentioned that we need to have Members and their interests in the focus.

On growing the organization:
(1) IISc AANA Board approved the need for holding national elections to the Executive Committee. Board members have contacted Praveen Jain, Om Nalamasu, Sriram Viswanathan and continue to seek interested IIScians for the President's post. All IISc AANA members are welcome to nominate (including self-nomination) persons for this election.
(2) The Election committee will come up with the list of all open positions by the next Board meeting on June 1, 2008.
(3) The Board approved the formation of a Chapter President's committee.
(4) Executive action will be taken by primarily members of these committees

On establishing a user-friendly website:
(1) Web management -- Board is requesting Vas + Mohan Raj to expeditiously assist and provide all support to Surya, who had agreed during core meeting to drive website.
(2) The board has specifically re-iterated that the need of the hour is to determine a budget, select a supplier, and to get this done as quickly as possible.

Surya Sankuratri made his presentation to the Board on -- there was agreement with the points made and synergies with the proposals included in Yash's presentation were noted. Surya had important and specific additional items which were deemed very key. His presentation is also attached.
